Where to submit your EDF: bank-by-bank guide

Short answer: give your signed EDF to the bank where your foreign payment arrives (your Authorised Dealer or AD bank), within 30 days after the end of the invoice month. Each bank decides how it accepts it (branch, email, net banking or trade portal) and must publish that procedure on its website. Below is each major bank's official procedure.

Banks

ICICI Bank

How to submit: Online through Trade Online (corporate net banking) or the InstaBIZ app, or at the branch Trade Desk.

AD code: You can generate an AD code letter yourself in Trade One View (Trade Online / InstaBIZ), or ask the branch.

Documents: EDF, invoices, the bank's customer request letter with FEMA declaration; IRM/eFIRC details when regularising advance payments. Invoices up to Rs 10 lakh can be closed on your declaration.

Charges: No separate EDF fee listed in the policy; standard trade tariff applies.

Late submission / extension: Case by case through the Trade Desk or RM, with reasons and documents.

HDFC Bank

How to submit: At the Trade Desk of your HDFC branch, through the bank's digital channel, or via your Relationship Manager.

AD code: Ask your branch Trade Desk for an AD code letter (request letter).

Documents: EDF, invoices, FEMA declaration, IRM/eFIRC for advance regularisation. HDFC has its own 'Request letter for Export of Services & EDF Filing cum Disposal Instructions'.

Charges: Export bill regularisation 0.0625% (min Rs 1,000) + Rs 100 per invoice; BRC issuance Rs 150; extension Rs 1,000 (published fee schedule).

Late submission / extension: On request with reasons and documents, to the bank's satisfaction.

HDFC asks for its own request letter along with the EDF; download it from the link.

State Bank of India

How to submit: At the authorised (AD) branch where your current account is.

AD code: Ask your AD branch for the AD code letter.

Documents: EDF, invoices, service agreement or statement of work, proof of service delivery, request letter in the bank's format with FEMA declarations. Invoices up to Rs 10 lakh close on your declaration.

Charges: As per SBI's service charges page; SBI states no penal charge for regulatory delay.

Late submission / extension: Request before the due date with reasons and buyer correspondence (2 working days to process).

Axis Bank

How to submit: At your base branch or through your Relationship Manager.

AD code: Ask your base branch for the Axis Bank AD code letter.

Documents: EDF, invoices, contract, customer request letter with FEMA declaration.

Charges: eBRC: nil; follow-up for late EDF lodgement Rs 100 per bill per month (published schedule of charges).

Late submission / extension: Request letter with FEMA declaration plus buyer communication confirming revised terms.

Kotak Mahindra Bank

How to submit: At a branch, or digitally through Kotak's FYN platform where available.

AD code: Kotak issues an AD code letter on request (published charge Rs 1,000 per letter).

Documents: EDF, invoices, FEMA declaration in the bank's request-letter format.

Charges: Software/service handling 0.075% (min Rs 1,500); export regularisation 0.075% (min Rs 1,250); AD code letter Rs 1,000; extension Rs 2,000 (fee schedule from 12 Oct 2026).

Late submission / extension: On request citing reasons, if the bank is satisfied (Rs 2,000).

Punjab National Bank

How to submit: At AD branches; processing is centralised at PNB Trade Finance Centres.

AD code: Ask your AD branch.

Documents: EDF, invoices, FEMA declaration in the bank's request-letter format.

Charges: As per the bank's service charges (not itemised publicly).

Late submission / extension: Decided by delegated committees based on reasons and evidence.

How to submit: At a branch or through online/digital banking.

AD code: Ask your branch (application letter).

Questions

Where do I submit the EDF for export of services?

To the bank (Authorised Dealer) where your foreign payment is received, for services other than software. For software you can also use STPI. Units in an SEZ submit to their SEZ Development Commissioner. You do not upload it to the RBI website (Regulation 2(1)(f), FEMA 23(R)/2026-RB).

Can I email the EDF to my bank?

It depends on the bank. RBI requires every bank to publish its own procedure (Regulation 19). Some banks accept it through net banking or a trade portal (for example ICICI Trade Online), some at the branch trade desk, and some through your relationship manager. Check your bank below.

What does the bank do with my EDF?

The bank enters it in RBI's Export Data Processing and Monitoring System (EDPMS) within five working days (Regulation 18(1)(b)). The entry is closed when your payment arrives and is matched.

I get paid through Xflow, Skydo, Razorpay, Wise or PayPal. Where does my EDF go?

To the Indian bank account where the platform pays out your money. The platform is not your AD bank. Some platforms help you prepare the form (Xflow guide, Skydo generator coming soon), but you submit it to your bank.

Can my bank charge a penalty if I am late?

Regulation 19(3) says a bank shall not levy any charges or penalty for a regulatory delay or violation by its customer. Banks may still charge normal service fees listed in their schedule. If you will be late, write to the bank before the deadline with reasons and ask for an extension under Regulation 3(2)(c).
